Terms and Conditions for Participation in Tours and Pilgrimages Organized by Dorothy Travel LLC

  1. Definitions
    Tour or Pilgrimage – an organized tourist or religious trip offered by Dorothy Travel.
    Organizer – Dorothy Travel LLC, responsible for organizing tours/pilgrimages.
    Participant / Client – a person who makes a reservation and participates in the tour/pilgrimage.
    Deposit – a $1000 amount that guarantees a place in the group and is required to make a reservation.
  2. Reservation
    To make a reservation, the participant is required to contact the organizer and pay a deposit of $1000.
    • By making a reservation and paying the deposit, the client declares that they have read the terms and conditions of participation in the tour/pilgrimage, the program, and the scope of services and accepts them without reservation.
    • The deposit guarantees a place in the group.
    • Registrations are accepted until the date specified in the program or until the participant list is filled.
    • The person making the reservation, after paying the deposit and sending the required information, confirms that they have read the terms and accept them.
    • The participant, by making the reservation, confirms that their health condition allows them to participate in the tour/pilgrimage.
    • The participant is responsible for visa and passport matters (passport validity must be at least 6 months from the date of arrival, and the data on the passport must match the registration information).
  3. Payment Methods

    Information about account numbers, Zelle, and Venmo will be provided in the “welcome letter.”
  4. Required Information
    The participant is required to send the following information by email to info@dorothy-travel.com:
    • Tour name,
    • Participant's full name,
    • Phone number,
    • A copy of the passport,
    • Passport validity (minimum 6 months after the return date),
    • If selecting a single room (for an additional fee), this must be reported by email,
    • Name and phone number of an emergency contact person.
    • The participant is required to report any dietary requirements (e.g., allergies, vegetarian/vegan, gluten-free) at the time of booking. The organizer is not responsible for improper meal preparation if these requirements are not communicated in advance.
  5. Payments
    The participant is required to make payments by the deadlines indicated by the organizer.
    • Checks must be sent in advance to ensure they arrive before the due date.
    • In case of payment delays, the organizer reserves the right to remove the participant from the list, and the client is responsible for cancellation fees.
    • Failure to make the full payment (final installment) will be considered as cancellation, resulting in the loss of the deposit or previous payments.
    • A late payment will incur a penalty fee of $100.
  6. Accommodation
    The programs offer double and single rooms (for an additional fee).
    • Clients interested in a single room should notify by email.
    • In the case of an odd number of participants and the absence of a companion, an additional charge for a single room will be required.
  7. Insurance
    Purchasing travel and medical insurance is mandatory to protect against the consequences of unforeseen events such as illness, delays, luggage loss, etc.
    • The cost of insurance is not included in the price of the tour.
    • The participant is responsible for purchasing insurance on their own.
    • Dorothy Travel is not responsible for the consequences of not purchasing insurance.
    • Insurance can be purchased after paying the deposit.

  8. Information Transmission
    Participants will receive two organizational emails:
    • The first email – sent after registration for the tour/pilgrimage is closed, containing flight schedule, insurance information, and details on upcoming payments,
    • The second email – sent approximately 2.5-3 weeks before departure, containing the flight ticket, details on baggage, program, currency exchange, insurance, and other organizational information.
  9. Responsibility for the Trip
    The organizers act on behalf of the client, but are not responsible for any injuries, losses, delays, or other unforeseen events related to the organization of the tour/pilgrimage.
  10. Additional Information
    Participants are required to comply with the instructions of the guide, follow the laws, customs, and regulations of the countries visited.
    • The participant is fully responsible for being on time and for attendance at the meeting point.
    • The agency reserves the right to make changes to the program due to circumstances beyond its control (e.g., bad weather, natural disasters).
  11. Cancellation Conditions
    • Cancellation more than 150 days before departure: 100% refund of the deposit.
    • Cancellation between 150-120 days before departure: refund of the deposit minus a penalty of $100.
    • Cancellation between 119-90 days before departure: refund of the deposit minus a penalty of $400.
    • Cancellation between 60-89 days before departure: loss of 100% of the deposit.
    • Cancellation between 30-59 days before departure: loss of 75% of the tour cost.
    • Cancellation less than 30 days before departure: loss of 100% of the tour cost.
  12. Trip Cancellation Notice

All cancellations and refund requests must be confirmed via email.
Participants wishing to cancel their trip are required to send a cancellation notice to the email address: support@dorothy-travel.com
Please include all necessary details in the email, such as the group name and reason for cancellation, to ensure the efficient processing of the request.
Requests qualifying for a refund will be reviewed and processed within 14 business days, and refunds will be sent by mail.

  1. Processing of Personal Data
    In accordance with data protection regulations (GDPR), the personal data of participants (such as name, surname, contact details) will be processed solely for the purpose of the tour/pilgrimage.
    • This data will not be shared with third parties unless required by law or for organizing the trip.
    • Participants have the right to access and correct their data.
  2. Extraordinary Circumstances
    In the case of extraordinary circumstances (such as epidemics, terrorist attacks, changes in legal regulations, natural disasters), the agency reserves the right to change the program, cancel the trip, or offer participation in a replacement group. Dorothy Travel is not responsible for these situations.
  3. Use of Promotional Materials
    The participant agrees to the use of photos, videos, and promotional materials from the tours for marketing purposes by Dorothy Travel, unless they provide written objection.
